1. Definitions
For the purposes of these Terms & Conditions (“Terms”):
1.1 “Lodge” refers to Odegaard Lodge, operated by Odegaard Farms Limited, Lower Zambezi, Zambia.
1.2 “Guest” refers to any individual making a reservation, staying at the Lodge, or using Lodge services.
1.3 “Booking” refers to any reservation made via website, email, WhatsApp, telephone, or third‑party platforms.
1.4 “Services” include accommodation, meals, activities, transfers, and any other offerings provided by the Lodge.

2. Acceptance of Terms
2.1 By making a Booking, paying a deposit, or staying at the Lodge, the Guest acknowledges and agrees to be bound by these Terms.
2.2 These Terms constitute a binding agreement between the Guest and the Lodge.
2.3 The Lodge reserves the right to amend these Terms at any time. Amendments do not affect confirmed Bookings.

3. Rates, Taxes & Levies
3.1 All rates are quoted in Zambian Kwacha (ZMW) unless otherwise stated.
3.2 Rates are inclusive of 16% Value Added Tax (VAT) and 1.5% Tourism Levy, as required by Zambian law.
3.3 Rates exclude national park fees, conservation fees, and third‑party activity charges unless expressly stated.
3.4 The Lodge reserves the right to adjust rates due to changes in taxation, levies, or government regulations.

4. Reservations & Payment Terms
4.1 A Booking is considered provisional until the required deposit is received.
4.2 Provisional Bookings are held for 7 days, after which they may be automatically released.
4.3 A 30–50% deposit is required to confirm a Booking.
4.4 The balance of payment is due 30 days prior to arrival.
4.5 Bookings made within 30 days of arrival require full payment at the time of reservation.
4.6 Accepted payment methods include bank transfer, card payment, and mobile money.

5. Cancellation & Refund Policy
5.1 Cancellations must be submitted in writing.
5.2 The following cancellation fees apply:
* More than 30 days before arrival: Full refund minus bank charges
* 15–30 days before arrival: 50% of total Booking value
* 0–14 days before arrival or No‑show: 100% of total Booking value
5.3 Peak‑season Bookings (December–January) may carry non‑refundable deposits.
5.4 Refunds, where applicable, will be processed within 14 working days.

6. Check‑In and Check‑Out
6.1 Check‑in time is 13:00.
6.2 Check‑out time is 11:00.
6.3 Early check‑in or late check‑out is subject to availability and may incur additional charges.

7. Children Policy
7.1 Children of all ages are welcome at the Lodge.
7.2 Minimum age for participation in game drives is typically 6 years, subject to guide discretion.
7.3 Children must be supervised by a responsible adult at all times.
7.4 Child rates may apply depending on age and room configuration.

8. Wildlife, Safety & Liability
8.1 The Lodge is situated in a wildlife area where animals roam freely.
8.2 Guests must exercise caution and comply with all safety instructions issued by Lodge staff and guides.
8.3 Participation in activities—including but not limited to game drives, boat safaris, canoeing, fishing, and walking—is undertaken entirely at the Guest’s own risk.
8.4 The Lodge shall not be liable for any injury, illness, loss, damage, or death unless caused by proven negligence.
8.5 Guests are strongly advised to obtain comprehensive travel insurance and medical evacuation cover.

9. Activities & Third‑Party Services
9.1 Activities may be subject to weather conditions, river levels, park regulations, or safety considerations.
9.2 Third‑party services (e.g., canoe safaris, flights, transfers) are governed by the provider’s own Terms & Conditions.
9.3 The Lodge shall not be held liable for cancellations, delays, or changes made by third‑party operators.

10. Guest Conduct & Damage
10.1 Guests are expected to behave respectfully toward staff, wildlife, and other guests.
10.2 The Lodge reserves the right to remove any Guest whose behavior is deemed unsafe, disruptive, or unlawful.
10.3 Guests shall be held financially responsible for any damage to Lodge property caused by negligence or misconduct.

11. Force Majeure
11.1 The Lodge shall not be liable for failure to perform its obligations due to events beyond its reasonable control, including but not limited to:
* Natural disasters
* Floods or extreme weather
* Political unrest
* Government restrictions
* Infrastructure failures
11.2 In such circumstances, the Lodge may offer to reschedule the Booking. Refunds may not be provided.

12. Privacy & Data Protection
12.1 The Lodge collects personal information necessary for reservations, compliance, and safety.
12.2 All data is handled in accordance with the Zambia Data Protection Act.
12.3 Personal information will not be shared with third parties except where required by law or necessary to fulfill the Booking.

13. Governing Law & Jurisdiction
13.1 These Terms are governed by the laws of Zambia.
13.2 Any disputes arising from these Terms shall be resolved in the courts of Zambia or through mutually agreed arbitration.
